Privacy Policy

Wednesday Padel Society ("we", "us") is a small private padel community in Dubai. This policy explains what data we collect about members and how we use it.

1. What we collect

• Account: first name, last name (optional), email, password (stored as a one-way hash)
• Profile: gender (optional), nationality (optional), WhatsApp number, self-assessed padel rating, referrer name, optional bio
• Photos: a profile photo (required with membership applications from August 2026 — it's how members recognise each other on the match list) and any photos you choose to share to the member album
• Activity: matches you have played, partners, opponents, scores, attendance
• Technical: an HTTP-only session cookie to keep you logged in, and an optional consent cookie

2. How we use your data

• Manage community membership (approval by Ryo Wakabayashi)
• Schedule weekly matches and assign you to games
• Track match scores and your participation history
• Contact you via WhatsApp or email about sessions, payments, and account matters

3. Who can see what

• Other members can see: your first name, your profile photo, when you joined, who referred you, the matches you have played, partners, opponents, and scores. Tapping a player's photo on the weekly match list shows exactly this — nothing more.
• Other members cannot see: your last name, email, WhatsApp number, Instagram or LinkedIn, nationality, gender, bio, your rating, your password
• Ryo Wakabayashi (the organizer/admin) can see all of the above. Ratings are confidential to Ryo.

Your profile photo is required with new membership applications (members who joined earlier are asked to add one). It is visible only to signed-in members — never publicly — and you can change it yourself at any time from your profile page. Album photos are reviewed before they appear and are also visible to members only.

4. Data retention

We keep your data for as long as you are an active member. If you leave or ask us to delete your account, we will remove your personal information from our systems within 30 days. Match history may be retained in anonymized form (without your name) for community statistics.

5. Your rights

You can:

• View your stored data (ask Ryo)
• Correct your data (update via your account or ask Ryo)
• Delete your account (ask Ryo)
• Withdraw consent (ask Ryo)

6. Cookies

We use one essential cookie (wps_session) to keep you logged in. We use one optional cookie (wps_consent) to remember that you accepted this policy. We do not use any third-party tracking, analytics, or advertising cookies.

7. Third parties

• The site is hosted on Cloudflare Pages
• The database is Cloudflare D1
• Photos (profile and album) are stored in Cloudflare R2 object storage
• Password reset emails are sent via MailChannels
• We do not sell or share your data with anyone outside the community organizers
